    Acceptable Use Policy

    This Acceptable Use Policy ("AUP") describes how the Cohvia Service may and may not be used. It is incorporated into the Terms of Service and applies to SACS Ecommerce Stores Inc. (operating as "Cohvia") and to every customer, user, and visitor of the Service ("you").

    We keep this AUP short and plain so you know where the lines are. Violations may result in suspension or termination of your account.


    1. What Cohvia is for

    Cohvia is a B2B customer-success platform. You may use the Service to manage your customer relationships, generate insights from data you are entitled to process, and run the customer-success workflows the Service supports. You are responsible for everything that happens under your account, including the actions of every user you invite.


    2. Don't break the law

    You must not use the Service:

    (a) in violation of any law that applies to you or to the people whose data you submit;

    (b) to infringe anyone's intellectual property rights, publicity rights, or privacy rights;

    (c) to harass, defame, threaten, or harm anyone;

    (d) to engage in fraud, deception, or manipulation; or

    (e) to violate export-control, sanctions, or anti-money-laundering laws.


    3. Don't submit data you shouldn't

    You must only submit data you have the right and a lawful basis to submit, including any personal data of third parties (for example, individuals named in transcripts or emails). In particular, you must not submit:

    (a) special-category or sensitive personal data as defined under GDPR, UK GDPR, the CCPA, Quebec Law 25, or similar laws — including health, biometric, genetic, racial or ethnic, religious, political, sexual orientation, or trade-union data — unless we have agreed in writing in advance;

    (b) protected health information subject to HIPAA or similar health-privacy regimes — Cohvia is not currently configured as a HIPAA business associate;

    (c) financial-account data such as full payment card numbers, bank account numbers, or government-issued ID numbers (other than the limited billing data needed to pay for the Service, which is handled by our payment provider);

    (d) data of children under the age of 16 (or higher where local law requires);

    (e) data of individuals where you do not have authority, consent, or another lawful basis to submit it for AI processing; or

    (f) data subject to a confidentiality obligation that would prohibit its disclosure to Cohvia or our subprocessors.


    4. Don't use AI outputs for high-stakes individual decisions

    Cohvia is designed to produce account-level insights for business teams. It is not a tool for evaluating, scoring, ranking, or making decisions about identified individuals. You must not use Cohvia Outputs as the sole basis — or a primary basis without meaningful human review — for any decision that produces legal or similarly significant effects on a person, including:

    (a) employment decisions (hiring, firing, promotion, demotion, pay, discipline, performance reviews);

    (b) access to credit, insurance, housing, education, or essential services;

    (c) law-enforcement, immigration, or other government decisions about individuals; or

    (d) any decision that would, in the EU AI Act sense, classify the use as "high-risk."

    Outputs may be inaccurate, incomplete, or out of date. You are responsible for verifying them before you act on them.


    5. Don't interfere with the Service

    You must not:

    (a) reverse engineer, decompile, disassemble, or attempt to extract source code, model weights, prompts, or training data, except as permitted by mandatory law;

    (b) probe, scan, or test the vulnerability of the Service, or breach security or authentication measures, except under a written security-research agreement with us;

    (c) introduce malware, ransomware, or any malicious code;

    (d) circumvent usage limits, rate limits, or access controls;

    (e) use bots, scrapers, or automated tools to access or extract data in a way that strains the Service or extracts material amounts of data outside the API; or

    (f) interfere with the integrity, performance, or availability of the Service for other customers.


    6. Don't misuse the AI features

    You must not:

    (a) use the Service to generate content that is illegal, defamatory, infringing, or deceptive;

    (b) attempt to make the AI produce harmful, hateful, sexually explicit, or violent content;

    (c) submit prompts or content designed to bypass safety measures or extract training data from underlying models;

    (d) impersonate Cohvia or another person using AI-generated content;

    (e) generate or distribute synthetic media (audio, video, images) of real people without their consent and without clear AI-labelling; or

    (f) hold Outputs out as human-authored where doing so would mislead someone in a meaningful way.


    7. Don't resell, benchmark, or compete using the Service

    You must not:

    (a) resell, sublicense, lease, or otherwise make the Service available to anyone outside your own organization's authorized users;

    (b) use the Service to build a competing product or service;

    (c) use the Service to benchmark performance, accuracy, or pricing for publication or to share with competitors, without our prior written consent; or

    (d) copy or imitate the Service, its features, or its user interface.


    8. Cooperation, suspension, and reporting

    8.1 Cooperation. If we ask you to stop a specific use that we believe violates this AUP or applicable law, you will stop promptly and work with us in good faith to resolve it.

    8.2 Suspension and termination. We may suspend or terminate access (in whole or in part, with or without notice depending on the severity) if we reasonably believe you have violated this AUP, are creating a security or legal risk, or are causing harm to others. We will use reasonable efforts to limit the scope and duration of suspension and to give notice where appropriate.

    8.3 Reporting abuse. If you become aware of any violation of this AUP by another user, or of any vulnerability, abuse, or misuse involving the Service, please report it to privacy@cohvia.com (or security issues to security@cohvia.com). We will not retaliate against good-faith reports.


    9. Changes

    We may update this AUP from time to time. We will post the updated version with a new "Last updated" date and, for material changes, give notice through the Service or by email.
